Google Drive / iCloud - Saving Documents & Files

This article will: show what Google Drive is and how to use it, explain how King's Way uses Google Drive and iCloud to save Documents & Files, and explain classroom devices such as Chromebooks and iPads.

Google Drive / iCloud - Saving Documents & Files

If you are unfamiliar with Google Drive please see the attached training for assistance. You will need to have a good understanding of your My Drive, Shared Drives, and Shared with Me.

My Drive

Your My Drive is where your documents default to. You can create and save documents of all types here.

Shared Drives

You will have access to certain Shared Drives depending on the distribution lists you are a part of. Please familiarize yourself with your Shared Drives and where important documents should be created, who they should be shared with, etc.

If you believe you should be on a distribution list that you are not on please reach out to your supervisor - to make a request to IT.



Desktop Computers (Offices, K-12 Classrooms, Workroom Computers)

Understand that King’s Way’s desktop computer(s)/laptop(s) are never backed up on our servers. EVER. The files that you might have sitting on your Desktop, the files you have in your Documents folder, pictures in the aptly named Pictures folder, etc., none of these files are being backed up. If the building burns down, if your computer is stolen, or if the hard drive gives out, those files would be gone forever, unless you have them saved in a Google Drive. This means that all of your files should be saved to your Google Drive. Google Drive is the cloud that holds all of your documents - it’s a huge digital folder for you to store and organize all of your digital files. You can save any file type in your Drive (Word, Excel, JPEG (photos) and Google products Docs, Sheets, Slides). We have a service that backs up your drive each day. 

If you have not already, or if you’ve gotten out of the habit, move anything and everything into your classroom’s Google Drive.


Google Drive - Accessing Files (for desktop)

You should get in the habit of accessing your files through the explorer window on your school computer which gives you access to your Google Drive. This will help you keep your files ‘in sync’ vs using the web interface of drive.google.com.



Open a Specific Set of Pages

  1. Open File Explorer

  2. Select 'Google Drive' then either you 'My Drive' or 'Shared Drives'

  3. Select the files you would like to open

    • Click Add a new page. Enter the web address and click Add.

    • Click Use current pages.

  4. At the top right, click the far right button that looks like a vertical ellipsis then select Settings.

  5. Under "On startup," select Open a specific page or set of pages.

  • Click Add a new page. Enter the web address and click Add.

  • Click Use current pages.

To update your pages, to the right of a page, click More Edit or Delete.


Open File Explorer

Select ‘Google Drive (G:)’ then either your “My Drive” or “Shared Drives”

Select the file you would like to open

If you are opening a file that is not a Google application (Excel, Word, Publisher) you are essentially downloading a copy of the file and you will need to save the changes to your document just as you would typically do with these types of files - make sure to verify that you are saving those files to your Google Drive and select the same name to save the file. 

If you are working in a Google Application (Docs, Sheets, Slides, etc.) those apps save automatically.

Don’t see Google Drive?

Click on the arrow in the lower right-hand corner of your screen and make sure Google Drive is running

If you don’t see this icon type “Google Drive” in the search box and start the program - if there are prompts to connect your account, follow the instructions until you are successfully signed in.

Tip: Whenever possible use Google Applications (Docs, Sheets, Slides…) it autosaves for you!
